Strategy

Planning a creator media kit as a claim register rather than a sales collage

Plan a creator media kit for an English buyer with evidence-led objectives, controlled channels, independent risk gates and reversible release decisions.

A sound creator media-kit strategy starts with one buyer decision. Define what an authorised English buyer must be able to verify, build the smallest pack that supplies that evidence, and choose a controlled delivery route. Publish only after claims, commercial recognition, rights, privacy, safeguarding, accessibility, security and exit controls pass independently.

For this guide, the planning job is deliberately narrow: one creator provides one current commercial pack to one authorised buyer evaluating a possible commission. The pack may describe services, show selected work, present bounded audience or past-work evidence and provide an enquiry route. No live creator, buyer or campaign is represented in this draft.

What to take away

  • Start planning from one buyer decision and build the smallest pack that supplies the evidence.
  • Record every objective claim with its source, definition, period, exclusions and recheck date before layout.
  • Attach rights records to each asset and confirm every planned use rather than assuming one permission covers all.
  • Compare delivery routes on one approved pack version and one stated validity period.
  • Keep advertising, rights, privacy, accessibility and security decisions separate rather than trading one off against another.

Protect the niche boundary

A media kit is a creator-controlled commercial information pack. A portfolio tool helps create, host, maintain or export it.

A generic website host stores pages; design software makes assets; a discovery database helps buyers search; a UGC marketplace manages commissions; an agency or talent manager provides services under its authority. They can connect to the pack, but their full function, cost or performance cannot be attributed to it.

Adobe Portfolio, Journo Portfolio, Notion, Canva, Linktree and Beacons are widely used examples, but each covers only part of that chain — hosting, design, export or a link-in-bio page — so the record should say which product does which job and under whose account.

The strategy owns a media-kit service boundary, not a broad "creator presence". It does not stand in for the broader creator economy or unrelated transactions. Write down inside components: claim register, selected assets, rights references, commercial context and contact route. Include versions and export.

Put campaign delivery, paid media, creator compensation and agency fees outside the unit. General hosting and unrelated design work stay outside unless separately commissioned.

Start with an observed problem

Start planning from a record, not a forecast. An eligible problem could be a buyer asking for the definition behind an audience figure, a creator tracking an expiring image licence, or an authorised representative unable to export the latest approved pack.

From observed problem to testable objective

  1. Record the event, pack version, owner, evidence
  2. Note the effect on the buyer decision
  3. Frame objective as testable retrieval task
  4. Define measure, test period, exclusions, owner
  5. Leave acceptance threshold blank until buyer sets it

Record the event, pack version, English business or creator unit, owner and evidence. Note the effect on the decision. One anecdote is a research lead, not prevalence.

GOV.UK's guide to planning user research recommends turning assumptions into research questions and connecting each round to a decision. It was written for government teams, so it supplies a planning discipline rather than evidence that private buyers share the problem.

Frame the objective as a testable retrieval task: an authorised buyer can locate the source, definition, date and limitation for each admitted commercial claim in the approved pack version.

The measure needs eligible claims and a count successfully traced under a documented test. It needs a test period, exclusions, evidence record and owner. The acceptance threshold stays blank until the buyer sets it.

Do not use profile views, enquiries or downloads as a substitute objective. They are observable activity, not evidence that the pack was understood, a buyer was qualified or a commission resulted. Later commercial analysis must keep exposure, enquiry, contract, revenue, contribution and causal effect separate.

Map authority before content

The creator approves personal positioning and must have authority for material they supply. A representative can update or negotiate only within a recorded mandate.

Authority card fields per hand-off

  • Actor and legal entity
  • Permitted action
  • Evidence
  • Start and expiry
  • Revocation route
  • Next owner

A brand or agency user decides whether the evidence fits its own brief, and does not inherit rights just by receiving a PDF. A software or hosting provider performs its contract functions, while a payment service, publisher, featured person and rights holder have different interests again.

Verify the legal counterparty when a company is involved. Companies House explains the filed facts available through its company information service, including names, addresses, officers and documents. Those records do not prove current service scope, authority to represent a creator, financial health or suitability.

Create an authority card for every hand-off: actor, legal entity, permitted action, evidence, start, expiry, revocation route and next owner. If the representative's mandate or creator approval is unclear, the affected pack stays on hold.

Design a claim register, not a sales collage

Every objective statement needs a record before it enters layout. Capture the exact wording, claim type, evidence owner, source, measure definition, reference period, geography, relevant exclusions, approved context and recheck date. Preserve supplier and platform figures as attributed claims; do not relabel them as independently verified performance.

A completed entry looks like this. The claim "our short-form video reaches a UK audience" is logged as an audience-reach claim, owned by the creator, with a platform analytics dashboard such as Instagram Insights, TikTok Analytics or YouTube Studio as the source and its dated export as the evidence. The record defines reach as accounts reached rather than views, states the reference period and geography, excludes paid promotion traffic, names the approved context — the audience section of the pack — and sets the recheck date.

CAP Code section 3 says marketers must hold documentary evidence before distributing objective claims capable of substantiation and must present significant qualifications clearly. Whether a particular portfolio page falls within the Code needs qualified assessment. The editorial strategy can still insist on evidence for any commercial statement.

Commercial recognition is a different control. CAP Code section 2 addresses obvious identification and commercial intent, while the CMA's creator endorsement guidance discusses payment, gifts, commissions and other incentives. A disclosure does not make an unsupported statement accurate. A claim file does not make a commercial relationship obvious. Route both through named advertising and consumer reviewers.

Attach rights to the actual asset

A portfolio can contain photographs, clips, copy, illustrations, logos, music and a featured person's contribution. Holding a copy of a file does not establish every permission. The IPO's GOV.UK guidance explains that copyright protection arises automatically for qualifying work. Separate authorship, ownership, licence and creator or representative authority.

For each asset, record work, owner/licensor, permitted use, channel and territory. Record edits, credit, term and sublicensing if any; add evidence and removal route.

GOV.UK notes a copyright licence can be limited by purpose, place and time. If the pack appears as HTML, a download and an email attachment, confirm each planned use; one permission may not cover all copies.

The version manifest should connect every published or exported file to its rights and claims. When a record expires, the owner needs to find the live page, download, link preview and authorised copy. Do not promise deletion from third-party caches or recipient systems unless that result can be evidenced.

Choose delivery channels on one common unit

Compare routes using one approved pack version delivered to one authorised buyer during one stated validity period.

A creator-controlled HTML page eases updates and evidence links. An accessible PDF gives a stable hand-off, but its copy can go stale. Direct email can restrict the intended recipient, yet contact purpose, security and attachment life still require control. A representative-managed page adds a delegated operator, whose authority and exit duties must be explicit.

Put concretely, that compares an Adobe Portfolio or Journo Portfolio page for the hosted HTML route, a Canva export saved as a tagged PDF for the download, a mailbox on the creator's own domain for direct email, and a Notion page held under a manager's account where a representative operates the pack.

The Cabinet Office's accessible communication formats guidance recommends planning accessible formats, favouring HTML where possible and involving disabled people. It is government communication guidance, not a universal private-sector pass. Test the actual page, download and enquiry journey with qualified accessibility support.

Direct delivery can also become marketing. ICO business-to-business marketing guidance distinguishes corporate and individual subscribers and states that UK GDPR can apply when personal business-contact data is used. Its opening notice says DUAA-related changes mean the guidance is being reviewed and may change. A privacy and PECR reviewer must recheck the configured recipient, purpose and rules on publication day.

No route wins by default. Select the one that passes the evidence, access, correction, security and exit tests with the least unnecessary data and copying.

Keep risk gates non-compensating

The release record should show separate decisions:

  • advertising and consumer review of commercial recognition, claims and qualifications;
  • intellectual-property and likeness review of each asset and channel;
  • privacy and PECR review of analytics, enquiries, contacts and recipient lists;
  • safeguarding review where age is uncertain or children may use the service;
  • accessibility review of the rendered page, document, form and alternatives;
  • security approval for domains, administrator accounts, exports and recovery;
  • contract, tax and finance review of parties, fees, currency, VAT and records;
  • exit acceptance covering export, correction, withdrawal, deletion and continuity.

Passing one lane cannot offset failure in another. The ICO's Children's code resources are relevant when an online service is likely to be accessed by children. Do not infer adulthood from appearance, content quality or a platform label. A named safeguarding specialist should decide the configured controls.

Plan accounts, suppliers and continuity

Assign the domain, hosting account, analytics, enquiry inbox, design source, rights register and exports to named owners. Give collaborators only the access required for their role. Record how access is removed and how a creator recovers the pack if an account, representative or supplier relationship ends.

NCSC guidance on using online services safely covers service choice, separate user accounts, administrator protection, backups and recovery for small organisations. It is a UK security baseline, not a product audit. Test account recovery and an export with fictional material before any live release.

For a supplier, record the exact legal entity, service and edition, contract geography, data roles, support, change terms, accessibility evidence, security material, export formats and deletion process. Leave price, service level and performance blank until a dated UK offer or contract supplies the unit and terms. A polished template does not compensate for missing operational evidence.

Use ninety days as checkpoints, not a promise

A ninety-day plan is an editorial sequencing convention. It is not a typical delivery time or an outcome forecast. Begin with evidence admission and owner mapping. Next build a fictional pack and test claim tracing, rights expiry, accessible formats, access removal, recovery, correction and export. Only then consider a limited, specifically authorised real pack.

Each checkpoint needs prerequisites, artefacts, independent reviewers, a decision owner and a stop rule. Live publication remains disabled if a claim lacks evidence, a licence omits the proposed channel, the participant or recipient route is unclear, the format fails an access task, or the operator cannot recover and withdraw content.

If a limited release is later approved, monitor the exact pack version and enquiry route. Log corrections without erasing the original decision record. Pause on an unexpected disclosure, rights, privacy, safeguarding, accessibility or security event and rehearse the recovery path before restart.

Make 2027 a revalidation horizon

Nothing here predicts creator behaviour, product adoption or market growth in England. For 2027, reopen each source, confirm any ICO under-review notice, verify supplier terms and repeat the audience evidence check. Retire the strategy if its target task, authority map or channel assumptions no longer hold.

Publication remains on hold. It requires assigned author and fact-checker roles plus named strategy, advertising, consumer, privacy, PECR, intellectual-property, safeguarding, accessibility, security, contract, tax and finance reviewers. The decision should remain reversible until one configured pack has passed every gate with current evidence.

Before you act

  • Define the single buyer decision the pack must support.
  • Record authority for every hand-off before content work starts.
  • Log each claim with source, definition, period and exclusions.
  • Map rights, permitted use and removal route for every asset.
  • Test the page, download and enquiry journey for accessibility.
  • Recheck recipient, purpose and marketing rules on publication day.

Common questions

What should a media kit strategy own?

It owns a media-kit service boundary rather than a broad creator presence. Inside sit the claim register, selected assets, rights references, commercial context, contact route, versions and export. Campaign delivery, paid media, creator compensation, agency fees, general hosting and unrelated design work stay outside unless separately commissioned.

Why are profile views and downloads a poor objective?

They are observable activity, not evidence that the pack was understood, a buyer was qualified or a commission resulted. The objective should instead be a testable retrieval task, such as an authorised buyer locating the source, definition, date and limitation for each admitted commercial claim in the approved pack version.

Does holding a copy of a file establish permission to use it?

No. Copyright protection arises automatically for qualifying work, and authorship, ownership, licence and creator authority are separate. Record the work, owner or licensor, permitted use and removal route for each asset, plus the term and any sublicensing, then confirm each planned use.
